Frequently Asked Questions

Please reach me at kristin@lotusmindservices.org if you cannot find an answer to your question.

Commercial panels are $95 each, Medicare is $150, and CAQH setup or cleanup runs $75-100 depending on where your profile stands when we start. One flat rate per panel - not hourly. Group practices and agencies get a custom quote based on size and panels.

Sensitive items like EIN's, Social Security numbers and passwords live in an encrypted password manager (Bitwarden) that only I can access - no staff, no shared vault, nobody else has the keys. Documents and working files stay on my password-protected computers, which are secured with fingerprint unlock. Nothing sensitive lives in email or random shared folders.

Honestly? It depends on the payer. Some panels move in 4-6 weeks; others (especially Medicaid-adjacent ones) can take 90+ days. I submit quickly and follow up so your file never sits - but no one can honestly promise a payer's timeline. I'll give you a realistic estimate per panel before we start.

A signed W-9, your EIN letter (or 147C if you lost the original - it happens), your NPI, state license, liability insurance certificate, work history, and CAQH login if you have one. Don't have everything yet? Send what you have and I'll tell you exactly what's missing.

I'm based in Oklahoma and most of my clients are Oklahoma practices, but credentialing paperwork is largely the same everywhere. Reach out and tell me where you're located.

It's based on what you actually collect, not a flat big-company fee: $100/month under $2,000 collected, $150/month for $2,000-2,850, and 6% of collections above that. New practices pay less while they build - that's the point.

No, and I'd be lying if I said otherwise. Insurance companies make the final call on every claim. What I can promise: clean claims, fast follow-up, denials worked the same week whenever possible, and you'll always know exactly where things stand.

Yes - that's the billing cleanup and audit service. We start with a free look at your current claims and denials, I show you what I found, and you decide what happens next. No obligation to hand anything over.

Monthly billing works month to month. I'd rather keep you by doing the job well than trap you in paperwork. I just ask for 30 days of advanced warning.

If you're taking insurance, yes. Every payer application, W-9, and billing setup runs through your tax ID, and using your Social Security number instead creates problems - payers flag mismatched or SSN-based setups, your SSN ends up printed on claim forms where staff at multiple offices can see it, and it's a headache to fix later. Getting an EIN is free and takes about 10 minutes on the IRS website - it's one of the easiest wins in setting up a practice. Already have one? Keep the CP 575 letter they mail you (or grab a 147C if you've lost it) - credentialing will ask for it eventually.
